What SiteWire collects, why, and how long it is kept. Written to be read rather than to be complied with, so if anything here is unclear the email address below reaches a person.
1.Who is responsible
SiteWire is a membership for UK tradespeople. It builds and hosts a website for each member, and passes on the enquiries that website receives.

2.If you are a member
We collect what the signup asks for, because the site cannot be built without it:
- Your business name, your name, your mobile number and your email address.
- Your trade, the town you work from, and the towns you travel to.
- The services you list.
- The facts you choose to put on your own site — how long you have traded, your insurance cover, any guarantee, your accreditation numbers, your review score and where it comes from. All of these are optional, and anything you leave out simply does not appear.
- Photographs of your work that you upload.
Why we may keep it: to provide the membership you have asked for. Your mobile number is also the identifier the signup resumes on, so you do not have to start again if you lose signal halfway through.
Most of it is published, by design — it is the content of your website. Your mobile number and email address appear on your site because that is how customers reach you.
3.If you are visiting this website
Nothing is collected about you here beyond what any web server records to serve a page. There is no advertising, no analytics that identifies you, and no tracking across other websites.
The signup sets two cookies once you begin: one holding your member record while you move between screens and one holding your trade before that record exists. They exist so the flow works, they are readable only by the server, and they last thirty days. There is no consent banner because there is nothing here that requires consent.
4.If you have sent an enquiry through a member's website
This is the part worth being precise about, because two organisations are involved and they are responsible for different things.
The tradesperson is responsible for your enquiry. It is their business you contacted, their customer relationship, and their decision what to do with what you sent. In data protection terms they are the controller. Their site carries its own notice naming them.
SiteWire handles it on their behalf. We receive your name, your phone number or email, and your message; we store it; and we send it straight to the member, normally within a minute. We act only on their instructions and we do not use your details for anything of our own — no marketing, and never passed to any other member.
To have an enquiry corrected or deleted, contacting the tradesperson is the direct route. If that gets nowhere, write to us at the address in clause 1 and we will act on their behalf.
To stop the same person submitting the form hundreds of times, we count submissions against a one-way hash of the sender’s network address. The address itself is never written down — only a hash that cannot be turned back into it, and only for long enough to count.
5.If we have written to your business
We write to electrical contracting businesses to tell them about SiteWire, by letter and sometimes by email. If that is how you have heard from us, this is what we hold and why.
- From the public Companies House register: your company’s name, number, registered office, date of incorporation and the trades it is registered for. That is where we found you.
- An email address, if we have one: taken from somewhere you published it, usually your own website, and we note where. Every email tells you where we found it.
- What we sent and what happened: when a letter or email went, whether the preview website we made for you was opened, and whether you replied.
Why we may hold it: our legitimate interest in telling businesses in the trade about a service built for them. We keep it to that: one letter, and at most one email and one follow-up. We only email limited companies and LLPs, unless a sole trader or partnership has told us they want to hear from us.
To stop it: use the unsubscribe link in any email, reply to us, or write to the address in clause 1. We then put your email address and company number on a do-not-contact list, and never write to you again by email or by post. That list is the one thing we keep for good, because it is how we make sure we never contact you again.
The preview website we made for you is deleted 30 days after it was made, as the letter says.
6.Who else sees it
Only the suppliers that make the product work. Each one is bound to use the data only for what we ask, and none of them are permitted to use it for their own purposes.
- DigitalOcean — the server the product runs on, the database, and storage for the photographs.
- Stripe — membership payments.
- Twilio — the text message that tells a member an enquiry has arrived.
- Resend — email: to a member where email is used instead of a text, and to firms we write to about SiteWire.
- fal.ai — the AI tools that write a member’s pages: it describes the job photographs a member sends, turns a member’s voice note into text, and makes pictures for the site. Voice notes are not kept after they are turned into text.
- Cloudflare — counts visits to sitewire.co.uk, without cookies and without identifying anyone.
We do not sell data, and we do not share it with other members. If we are ever required to disclose something by law we will say so unless we are prohibited from doing that too.
7.Where it is kept
In the United Kingdom or the European Economic Area wherever our suppliers offer it. Where a supplier processes data outside that area, it is done under the safeguards UK data protection law requires.
8.How long it is kept
- A member’s own details — for as long as they are a member, and afterwards so that someone returning is not asked for everything twice, and so we can answer a question about what they were charged.
- Enquiries — while the member needs them. These are the details of somebody who contacted a tradesperson, not of the member, and we are working to a fixed period for them rather than keeping them indefinitely.
9.Your rights
You can ask for a copy of what we hold about you, ask for it to be corrected, ask for it to be deleted, ask us to restrict what we do with it, object to what we are doing, or ask for it in a portable form. These rights are free to use and we will answer within one month.
If you are unhappy with how we have handled it you can complain to the Information Commissioner’s Office at ico.org.uk. We would rather you came to us first, but you do not have to.
10.Changes
The date at the top of this page is when it last changed. If we change anything that affects members materially, we will tell them rather than relying on them noticing.
